Determine how to set up email for Community users.
Email settings and email templates used in communities can be configured. This allows defining sender information and branding of emails sent to community members.
Community email settings can be configured under Administration > Emails in Community Workspaces. Following settings can be configured:
Salesforce provide a number of standard email which are specific to communities. The templates used for those emails can be changed.
Welcome emails are sent to community members when:
Those emails contain login information for new members. The activation link in the email is valid for seven days by default. This duration can be configured under Session Settings in the Salesforce Setup.
If the Welcome New Member option is not activated in Community Workspace, then user credentials for new community members must be shared by other means.
Forgot password emails can be requested by community members when they forgot their password.
Those email contains a link to set a new password which is valid for 24 hours.
Change password emails are sent to community members after their password was successfully changed.
Case comment emails are sent to community members when a new public case comment is added to a case which they own.
User verification emails are sent to community members to verify their email address.
User lockout emails are sent to community members when they are locked out of a community because of too many failed login attempts.
Those emails contain a notification that they need to wait a certain duration, or contact an administrator to get their user account unlocked.
One-time password emails are sent to community members when:
Those email contain a one-time password to confirm the identity of community members. After entering the one-time password, they the log in or registration process gets processed.
Community emails can be customized by editing the related email templates. This can be done under Classic Email Templates in the Salesforce Setup.
Merge fields can be added to the templates to include Salesforce and community data. Merge fields from communities are grouped under Network Member Fields.
Email templates can also be built with Visualforce. The $Network global merge field type can be used to include community data in those templates.
